Club Governance...

The Houston A&M Club, in cooperation with the Association of Former Students, strives to Raise Money to Fund Scholarships for Aggies from the Houston area currently enrolled at Texas A&M University, to Raise Financial Support for the University and to provide a forum to Foster the Aggie Spirit in the Houston community through special events, activities and volunteer opportunities planned throughout the year.


Since being chartered by the Association of Former Students in 1923, the Houston A&M Club has carried the distinction of being the AFS' largest club in the world and the first club to join the list of distinguished million-dollar donors who continue to give back to Texas A&M University.

The Houston A&M Club is governed by its Board of Directors and its Bylaws. The Houston A&M Club is a 501(c)(3) organization.  The Federal Employer Identification Number is 76-0157418.


Officer and Board of Directors: Roles and Responsibilities

The Directors, Officers, Committee Chairs and Advisors form the Leadership of the Houston A&M Club.  These enthusiastic volunteers work together to achieve the Mission of the Club.
 

The Directors and Officers are elected each year by the Club's members at its Annual Meeting of the Members. The Board includes 5 Officers: President, President-Elect, Treasurer, Secretary, Immediate Past President and 10 Directors. The term of each Officer position is one calendar year. The 10 Directors serve staggered three calendar year terms.
 

Directors are not paid compensation for their volunteer efforts and time. Directors generally meet nine times a year.


The Directors responsibilities include setting Club policy within the framework of the Houston A&M Club Bylaws and it's Mission. The Directors serve as Representatives of the Club, advise the President and actively serve on committees. At the Annual Meeting of the Houston A&M Club's members, the current Board of Directors recommend a slate of incoming Directors and Officers to be voted on.


The Officers include 5 Directors and 4 Vice-Presidents who serve one calendar year terms. The Directors are the President, President-Elect, Immediate Past President, Secretary and Treasurer. The Vice Presidents are the VP for Membership, VP for Activities, VP for Public Relations, VP for Community Relations and the VP for Corporate Development.


President - is the Chief Executive Officer of the Club. The President leads the Board of Directors and the Houston A&M Club in accordance with its Mission and Bylaws. The President provides guidance to Officers and Committee Chairs wherever needed. The President shall represent the Club at all meetings and functions of the Association of Former Students and other A&M events on campus and in Houston.


President-Elect - assists the President in leading the Houston A&M Club, performs other duties as assigned by Directors and schedules speakers for all meetings of the Club's membership.

Immediate Past President - assists the President in any capacity required to ensure compliance with the Club's Mission and Bylaws.


Treasurer - is the Chief Financial Officer of the Club. The Treasurer handles all the accounting and financial aspects of the Houston A&M Club. This position works with the Assistant Treasurer and Tax Advisor to ensure compliance with non-profit and tax regulations. The Treasurer is responsible for all funds and securities of the Club and maintaining the financial books.


Secretary - maintains all Club correspondence and records, takes minutes at the Annual Meeting and at the Board of Directors meetings.


Vice President for Activities - coordinates all the Club's Special Events and Activities. These events include the Coach's Night program, the Club's traditional Muster, Family Fun Days, Happy Hours and much more.


Vice President for Community Relations - coordinates volunteer and similar activities designed to interact with the citizenry of the Greater Houston Area and promote the image of Texas A&M University and the Houston A&M Club.


Vice President for Membership - fosters the Aggie Spirit in Houston Aggies by increasing active participation in Houston A&M Club fundraising efforts and in Club sponsored events. VP for Membership keeps the new graduates of Texas A&M and scholarship recipients aware of all activities of the Club.


Vice President for Public Relations - publicizes all activities of the Club in the Houston community and at Texas A&M University through the website, Quarterly Houston Aggie Newsletter, Texas Aggie, and through various Houston channels.


The Executive Director - Is a non-voting paid position who coordinates Club business and solicits corporate sponsorships and underwriters for the Houston A&M Club.


Club Committees
 

  1. The Audit Committee includes the Immediate Past President, President and President-Elect.
     
  2. The Donations Committee is chaired by one Director and makes donations to Aggie Student Organizations in amounts of $500 or less. In general, the committee is budgeted to spend a minimum of 5% of the total Club's current year donations.
     
  3. The Outstanding Houston Aggie Committee is chaired by one Director. The chair coordinates the annual Outstanding Houston Aggie luncheon.
     
  4. The Scholarship Committee is chaired by one Director and makes recommendations to the Board. The chair coordinates the annual Scholarship luncheon.
     
  5. Special Events and Activities Committees may include:

    • Coach's Night Chair
    • Evening with the President of Texas A&M University
    • Web Coordinator

Advisors may be paid for their time with approval by the Board of Directors.
